Coordinating Faculty Personnel Processes

FDI coordinates several faculty personnel processes in partnership with schools, colleges, and the Provost's Office. These include annual merit reviews and post-tenure reviews (PTR), ensuring consistent standards and reliable documentation across campus.Ìý

FDI supports the campus-wide annual merit review process in partnership with schools, colleges, research institutes, and administrative units. The team coordinates the collection of faculty performance data that inform merit salary decisions for over 2,000 faculty each year, ensuring timely submission, consistency, and accuracy across campus.

The annual merit review process includes several components:

The FRPA serves as an annual inventory of each faculty member’s professional activities. This information is used by departments, Academic Affairs, and other ̽»¨ÊÓÆµ offices to compile campus statistics, identify outreach and service opportunities, and support annual merit evaluations. All tenure-track faculty and faculty specializing in teaching or clinical education are required to submit their FRPA electronically each year as part of the annual merit review process.

The Board of Regents requires performance ratings for all faculty included in the annual merit process. Completed Faculty Performance Rating forms for full-time and part-time tenured, tenure-track, teaching-track, clinical-track, and faculty-in-residence are collected and retained by FDI on behalf of the Office of Faculty Affairs (OFA). These records form an official component of ̽»¨ÊÓÆµâ€™s annual merit review process, ensuring compliance and consistency with Board of Regents requirements.

Note: Dean’s offices manage ratings for temporary faculty, while Campus Human Resources oversees ratings for university staff, classified staff, and research faculty.

During the collection of performance rating forms, FDI supports the Provost’s Office by compiling merit rosters for each academic unit. These rosters include performance rating scores for individual tenure-track, teaching, and clinical faculty members. Merit rosters support the annual merit review process by linking performance ratings to salary and merit decisions, ensuring accuracy and consistency across all academic units.

PTR is ̽»¨ÊÓÆµâ€™s five-year review process for tenured faculty, with approximately 200 cases processed and reconciled each year across all schools and colleges.Ìý
In accordance with the , individual PTR reports are submitted to the dean, who provides a summary report and copies of the individual reviews to the provost. A copy of each PTR report is also placed in the faculty member’s personnel file.

FDI facilitates this process on behalf of ̽»¨ÊÓÆµ, ensuring compliance with CU System policies and procedures. FDI reports to the CU System on PTR implementation, maintains official records, enters review outcomes into the Faculty Information System (FIS), and resets the PTR clock to track future review cycles for each tenured faculty member.
